For U.S. Conference and Exhibition Organizers Running Events Outside the USA or Canada
The Problem
As an event organizer, your venue contract holds you responsible for everything that occurs during your show, meaning claims resulting from an exhibitor’s negligence could directly damage your financial standing or insurance rates. To shield yourself from risk, you must ensure every exhibitor names you as an "additional insured" on their liability policy. However, chasing down your busy clients for compliant Certificates of Insurance (COIs) is a frustrating, slow process that rarely achieves 100% compliance.
The stakes are also high for your exhibitors, who come from all over the world. Problems arise when they attend an event overseas. Most insurance companies are reluctant to provide international coverage, and exhibitors often struggle to secure the correct liability insurance required to operate outside their home country. This creates a tedious and time-consuming task for organizers, who have to check that every exhibitor has the appropriate coverage for their show.

Program Details
Organizers Liability:
First, Rainprotection will provide event liability insurance for the organizer. If the organizer already has insurance in place, we will provide an Excess Policy that gives the organizer an extra layer or insurance, for claims over and above its existing policies limits.
Exhibitors Liability:
Rainprotection provides the organizer the option to add any exhibitors at the event to the organizer’s policy for an additional premium per exhibitor. We can cover every exhibitor no matter where in the world they are domiciled.
It’s simple, prior to the event, the organizer submits a list of exhibitors. Rainprotection will then process compliant insurance for each exhibitor on the list.
Each exhibitor added will receive their own limits and terms of coverage.
Exhibitors:
- All Exhibitors are given their own limits. Organizer is named as additional insured on all exhibitor policies.
- Coverage and the Premium are included in Booth Space Fees and is collected by the Organizer.
It's a Simple Process
- The Organizer receives a PDF copy of the Master Insurance Policy for the event.
- Organizer sends monthly spreadsheets to Rainprotection Insurance listing the exhibitors that signed up that month and are to be covered under the Policy.
- Rainprotection Insurance sends a monthly invoice to the organizer for the previous month’s spreadsheet.
- The exhibitors listed on the spreadsheet are automatically covered.
- Insurance Certificates are sent to each exhibitor listed on the spreadsheet.
Pricing (when insurance is included in Booth Space Fees)
- Non-US Exhibiting Companies: Starting at: $125 + Taxes
- US Exhibiting Companies: Starting at: $175 + Taxes
- (Subject to a minimum number of exhibitors)
Coverage Limits (per exhibitor)
- $1 million per occurrence / $2 million aggregate
- $20 million total aggregate for the event

- Financial Safety Net: You receive a free Excess Liability Policy ($2 million per occurrence / $5 million aggregate) that sits on top of your current coverage. If a large claim exhausts your primary limits, this extra policy wil kick in to help cover any additional costs, saving you from potentially massive out-of-pocket expenses.
